CONTRACT OPERATIONS / WORKING GUIDE

A renewal review for IT service teams

Client service agreements and supplier subscriptions run on different clocks. Reviewing both together can expose decisions that are easy to miss when every date lives in a different inbox.

Separate the two sides

List customer agreements separately from vendor and software commitments. For each, record the counterparty, service, owner, renewal date and verified notice deadline. Note whether quantity changes, price changes or cancellations follow different rules.

Check commitments against demand

Before renewing a supplier commitment, ask the service owner which customers or internal teams still need it. Confirm current usage and any minimum quantities using your own records. A client renewal does not automatically change your supplier obligation.

Bring decisions forward

Set an internal review date early enough to discuss scope, pricing and service quality. Avoid treating a renewal reminder as the start of a negotiation if notice was already due. Keep commercial decisions and formal notice delivery as separate actions.

Record the outcome

Capture the agreed decision, the person responsible for the next step and the evidence supporting it. Save the amendment or replacement agreement after signing. Update the record only after the new terms are confirmed.

Start with the agreements that matter

Begin with contracts approaching a decision date or carrying meaningful recurring cost. TermClerk helps organize those records in a shared workspace. It does not determine the legal meaning of a notice clause for you.
